Choosing the right entertainment depends on your event type

Choosing a performer to provide entertainment for your event will depend on the kind of event that you are hosting. 

As you may expect, hosting a formal black tie gathering will likely have very different entertainment requirements to a relaxed outdoor BBQ. You might be tempted to invest in a particular type of artist because you’ve seen them elsewhere, but we always recommend thinking about whether that performance is right for the tone or vibe of your event.

There are three key questions you should be thinking about to influence your decision-making. 

When do you want your entertainers to perform?

It’s essential to think about the timing of your event before you book a performer. 

  • Are you searching for someone to entertain your guests as they arrive?
  • Do you want someone to keep guests entertained while they are eating or to manage any time gaps while you’re busy elsewhere?
  • Is the entertainment due to take place at the end of the evening? 

Having a clear idea about when you think your performer should take to the floor will naturally impact your decision-making. For example, you might prefer an end-of-the-evening entertainer, but if that person is already on-site for a low cost, that entertainer could potentially double up and provide an additional performance as guests arrive. 

We recommend looking at your timings – knowing how much time a performer has, and any set up considerations will naturally impact your decision-making. 

Who are your audience demographics?

Think carefully about who your audience is. Choosing an entertainer can be extremely subjective, especially if you are searching for an act such as a comedian. 

What are the demographics of your audience – will there be any children in attendance, if so, your choice of performer will need to be more family friendly. What are their expectations of similar events? Will your performer need lots of sound or visual effects as part of the performance? If your artist is visually overwhelming, have you considered whether any neurodiverse guests may need access to a quiet room where they can decompress from any overstimulation? 

You are investing your budget into an entertainer with the sole aim of pleasing your audience, so the more you consider their wants/needs, the easier it will be to find the perfect performer. 

What is your preferred budget?

If you’ve never hired an entertainer before, you may have no idea how much each type of artist could cost. 

We understand that.

But, as an entertainment agency, we recommend having a ballpark range of how much you are prepared to spend on your entertainment. It may only be £200, or it could be thousands – whatever your budget is, if we know from the outset your expectations, we can tailor a package that suits you. 

When clients come to us for entertainment, we like to demonstrate value for money. If you have a price range in mind, we can create a series of packages (at different price points within that range) that show you what you can expect from other budgets. Our honest and transparent approach means that you’ll feel reassured that you’re getting value for money. You’ll be aware of how scaling up (or down) your budget can give you exactly what you’re looking for.

For example, we recently helped a corporate client who had a last-minute performer cancellation who wasn’t even booked through us. Thanks to our extensive network, we secured a replacement within hours, ensuring their event ran seamlessly and had the entertainment it deserved!

Beyond that, our skilled team can talk directly with your venue about relevant logistics. We can talk about AV, staging and lighting requirements, accessibility, seating arrangements and everything else that needs to be considered for your entertainers to be able to perform to the best of their ability.

Once you’ve booked your chosen entertainer, we want you to sit back, relax and enjoy your event. We’re here to manage the on-the-day logistics, whether it’s providing each artist with specific directions to get to your venue, organising travel arrangements or establishing a contingency plan for different scenarios. 

Often, clients may be booking multiple entertainers – we can manage them all and coordinate the timings to ensure that everyone is where they need to be at the right time. If your event is taking place abroad, we can even arrange the hotel and travel requirements and include those costs in the agreed fee, so you’re not given any additional costs. 

Most importantly, we verify the performance level of every one of our artists. We only represent acts who are highly talented and can offer excellent levels of entertainment. This is essential because you need to trust that our acts will match your expectations.
